Maplewoodstock Canopy Lottery web software help requested

Calling Web Software Designers - Maplewoodstock Needs Your Help!

Last year, Maplewoodstock debuted a canopy lottery where over 500 Maplewood and South Orange families registered for a chance to win a canopy location for the festival. The lottery was a success and we hope to run the lottery again this year.

The challenge: Last year's lottery accepted entrants via a Google form and communication with winners/losers was primarily through gmail sent using third party mail merge software. Lottery winners were required to confirm (or decline) their attendance via email as well. Unfortunately, many emails landed in spam and follow ups were manual and time consuming.

The request: We are looking for a volunteer to build simple web software that would accept lottery registrations, conduct a lottery through a randomizer, notify winners/losers in bulk via email and text messaging, and allow winners to confirm their attendance via an online form. The project needs to be completed by May 1, 2023.

Will there be an off line means of communication available for those who either do not have Internet access or lack the Internet skills needed to access a website and complete an online form?  Thinking especially of our older adults who did not grow up with the Internet.  Other impacted communities could be low income households and those with inadequate English comprehension who could have trouble navigating the process without translation assistance.

Just like in 2022, there will be an offline option.  Last year, we had 3 folks use the offline option.
